(e) Financial data: Payment card or bank details as required to process membership fees and bookings. Payment transactions are processed by our third-party payment provider through the Your Golf Booking platform. We do not store your full payment card details on our own systems.

(f) Coaching data: Details of coaching sessions booked and attended, and any video footage or images submitted by you for the purposes of the swing tip service (All In and Founder Members).

(g) Event data: Details of private hire and event bookings, including guest lists, dietary requirements, and event-specific preferences.

(h) Communication data: The content of emails, messages, feedback, complaints, and any other correspondence between you and the Club.

(i) Marketing preferences: Your preferences regarding receiving marketing communications from us, including opt-in and opt-out records.

2.2 Information we collect automatically

(a) Attendance data: Records of your visits to the Premises, including check-in times, bay usage, and frequency and pattern of visits.

(b) CCTV data: The Club operates closed-circuit television (CCTV) surveillance throughout the Premises (except in lavatories and changing areas) for the purposes of security, crime prevention, and health and safety. CCTV footage may include images of Members, Guests, and visitors.

(c) Website and technical data: When you visit our website, we may automatically collect your IP address, browser type and version, operating system, device type, time zone setting, referring URL, pages visited, time spent on pages, and other diagnostic data.

(d) Cookie data: Our website uses cookies and similar tracking technologies. Please refer to Section 11 (Cookies) for further information.

2.3 Information we receive from third parties

(a) Booking platform data: We receive personal data from Your Golf Booking in connection with membership sign-ups, bookings, payments, and account administration.

(b) Social media data: If you interact with us through social media platforms (including but not limited to Instagram, Facebook, X, TikTok, and LinkedIn), we may receive information about your interactions, such as your username, profile information, and the content of your communications with us.

(c) Referrals: If another person provides us with your contact details (for example, when booking an event on your behalf or adding you as a guest), we will process that data in accordance with this Privacy Policy.


3. HOW WE USE YOUR PERSONAL DATA

3.1 We will only use your personal data where we have a lawful basis to do so. The table below sets out the purposes for which we process your personal data and the legal basis we rely on in each case.

3.2 Contract performance

We process your personal data where it is necessary for the performance of a contract with you, or to take steps at your request before entering into a contract. This includes:

(a) Administering your membership, including setting up your account, processing payments, managing your booking entitlements, and communicating with you about your membership. (b) Processing simulator bay bookings and managing your booking history. (c) Arranging and delivering coaching sessions. (d) Processing private hire and event bookings, including managing dietary requirements and guest lists. (e) Handling complaints and resolving disputes. (f) Processing refunds and handling payment queries.

3.3 Legitimate interests

We process your personal data where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests. This includes:

(a) Operating, maintaining, and improving the Club's facilities and services. (b) Monitoring usage patterns to manage capacity, improve scheduling, and plan future service offerings. (c) Ensuring the security of the Premises and the safety of Members, Guests, and staff (including through the use of CCTV). (f) Producing and publishing photographs, videos, and other marketing materials featuring activities at the Club (see Section 7). (i) Monitoring and improving the quality of our coaching services, including reviewing swing tip videos submitted by Members.

3.4 Legal obligation

We process your personal data where it is necessary to comply with a legal obligation to which we are subject. This includes:

(a) Complying with tax, accounting, and financial reporting obligations (including HMRC requirements). (b) Complying with health and safety legislation, including maintaining accident records. (c) Responding to lawful requests from law enforcement, regulatory authorities, or courts. (d) Complying with our obligations under the Licensing Act 2003 and the conditions of our premises licence.

3.5 Consent

In certain limited circumstances, we rely on your consent to process your personal data. This includes:

(a) Sending marketing communications to individuals who are not existing Members or customers (see Section 6). (b) Processing any special category data you voluntarily provide (for example, health information disclosed to a coach).

4. WHO WE SHARE YOUR PERSONAL DATA WITH

4.1 We may share your personal data with the following categories of recipients:

(a) Service providers and platform partners: Including Your Golf Booking (booking and payment processing), our website hosting provider, email service provider, CRM and marketing platforms, IT support providers, and accountancy and payroll providers. These service providers process your data on our behalf and in accordance with our instructions.

(b) Coaching staff: Our employed golf coaches will have access to your name, contact details, booking information, and any coaching-related data (including swing tip videos) as necessary to deliver the coaching service.

(c) Professional advisers: Our solicitors, accountants, auditors, and insurers, where necessary for the provision of their professional services to the Club.

(d) Law enforcement and regulatory authorities: Where we are required or permitted to do so by law, or where disclosure is necessary for the prevention or detection of crime, the apprehension or prosecution of offenders, or the protection of the rights, property, or safety of the Club, its Members, or others.

(e) Potential acquirers or investors: In the event of a sale, merger, acquisition, reorganisation, or investment in the Club (or a substantial part of its assets), your personal data may be disclosed to the prospective buyer, investor, or their advisers as part of the due diligence process. 6. MARKETING COMMUNICATIONS

6.1 We may use your contact details to send you information about the Club's services, events, leagues, tournaments, offers, and news that we believe may be of interest to you.

6.2 Existing Members and customers: We rely on our legitimate interests (the "soft opt-in" under Regulation 22 of the Privacy and Electronic Communications Regulations 2003) to send you marketing communications relating to the Club's services, where you have previously purchased a membership, made a booking, or otherwise engaged with the Club. You have the right to opt out at any time.

6.3 Non-customers: We will only send you marketing communications with your prior consent. You may withdraw your consent at any time.

6.4 Opting out: You can opt out of marketing communications at any time by:

(a) clicking the "unsubscribe" link in any marketing email; (b) contacting us at info@thecitygc.com; or (c) updating your marketing preferences on the Booking Platform (where this functionality is available).

6.5 If you opt out of marketing communications, we will add your details to a suppression list to ensure you do not receive further marketing. We may retain your details on this list for as long as necessary to comply with your opt-out request.

6.6 Opting out of marketing will not affect communications that are necessary for the administration of your membership or bookings (for example, booking confirmations, payment reminders, and changes to our Terms and Conditions).


7. PHOTOGRAPHY, FILMING, AND MARKETING CONTENT

7.1 The Club may from time to time photograph, film, or otherwise record activities on the Premises for use in marketing, promotional, and social media materials. Signage will be displayed when active filming is taking place.

7.2 By entering the Premises, you acknowledge that you may appear in such materials. If you do not wish to appear, please inform a member of Club staff, who will use reasonable efforts to exclude you.

7.3 Where we use a clearly identifiable photograph or video of you as a primary or featured subject in marketing materials (as opposed to general background or crowd shots), we will seek your specific consent before publication where reasonably practicable.

7.4 Swing tip videos. Videos submitted by All In and Founder Members for the swing tip service will be used solely for the purpose of providing the coaching feedback. We will not use your swing tip videos in marketing materials without your separate, explicit consent.


8. DATA RETENTION

8.1 We retain your personal data only for as long as is reasonably necessary for the purposes for which it was collected, or as required by law. The retention periods we apply are as follows:

(a) Membership and booking data: For the duration of your membership, plus 6 years after your membership ends or your last booking (to comply with statutory limitation periods and HMRC record-keeping requirements).

(b) Financial and transaction data: 6 years from the date of the relevant transaction (in accordance with HMRC requirements and the Limitation Act 1980).

(c) CCTV footage: Retained for a maximum of 30 days, unless footage is required in connection with an incident, complaint, or legal proceedings, in which case it may be retained for as long as reasonably necessary to resolve the matter.

(d) Coaching data and swing tip videos: For the duration of your membership, plus 12 months after your membership ends, unless you request earlier deletion.

(e) Marketing data: Until you unsubscribe or withdraw consent, at which point we will retain your details on a suppression list only.

(f) Event data: For 6 years after the event date.

(g) Complaint and dispute records: For 6 years after the resolution of the complaint or dispute.

(h) Website analytics data: Aggregated and anonymised analytics data may be retained indefinitely. Identifiable data (such as IP addresses) is retained for no more than 26 months.

8.2 At the end of the relevant retention period, your personal data will be securely deleted or anonymised.


9. YOUR RIGHTS

9.1 Under the UK GDPR and the Data Protection Act 2018, you have the following rights in relation to your personal data:

(a) Access controls: Access to personal data is restricted to those employees, coaches, contractors, and service providers who need access to perform their duties. Staff are subject to confidentiality obligations and are trained on their data protection responsibilities.

(b) Encryption: Personal data transmitted via our website and the Your Golf Booking platform is protected using industry-standard encryption protocols (including TLS/SSL).

(c) Secure payment processing: All payment transactions are processed by our third-party payment provider through the Your Golf Booking platform using PCI DSS-compliant systems. We do not store full payment card details on our own systems.

(d) Physical security: Access to the Premises is monitored and CCTV is in operation. Physical records containing personal data are stored securely with restricted access.
